Reprographic assistants copy pages of text and other documents using photocopying or printing machines, setting up the machine according to the number of copies, size and format required. The paper is fed automatically through the machine, so the reprographic assistant has to make sure that the machine is filled with paper and supplied with chemicals such as toner.

When copying is complete they collect the pages, arrange them in the correct order, and fasten or bind them together, depending on the customer's requirements. The reprographic assistant may be responsible for ordering paper and chemicals, and for keeping records of the names of customers and number of copies made.

They normally work about 39 hours a week (including Saturdays in ‘instant print' shops). Part-time work and flexible hours may be possible.

Salaries range from £10,000 to £20,000.

A reprographic assistant should:

  • be able to follow manufacturers' instructions precisely
  • be prepared to learn about new processes and machines
  • have an eye for colour, detail and design
  • be able to plan and prioritise tasks, working under pressure to meet deadlines
  • enjoy customer care, and be interested in machinery and how it works.

There are opportunities throughout the country with a wide range of organisations such as the copying and duplicating departments of large companies, local government, universities and colleges, and in high street ‘instant print' shops.

Entrants start at every level - from people with no formal qualifications to graduates. Apprenticeships and vocational training such as NVQs/SVQs (Levels 2 and 3) are available. Although there are no formal entry requirements, most employers want at least four GCSEs/S grades (A-C/1-3). Quick print shops may want people with qualifications such as a BTEC/SQA First or National Diploma in Printing or Graphic Design, or a City & Guilds (5261) Print and Graphic Communications at Level 2.

Entry is possible at any age, and some employers prefer to recruit older workers.

The print sector has a good training record, with many companies providing training for employees. In-house training programmes may be supported by part-time courses at local colleges or training centres.

Promotion opportunities depend on the type of organisation and the number of reprographic assistants employed. In large copying departments and printing companies, promotion to department supervisor or leader is possible.
