An index is a way of helping readers to use a document. The reader looks up a topic in the index and checks the page number or numbers beside it to find information quickly. Indexers must understand what information the reader will want. They pick out important words and phrases in the text and then organise the index so that information is easy to find. Most indexers use specialist computer software to help with indexing.

Most indexers work from home and choose their own hours. Evening and weekend work is sometimes needed to make sure the job is completed on time. The work involves sitting at a desk most of the time, and often using a computer.

Most indexers work on a freelance basis and negotiate their own fees for a job. They usually charge a rate according to the hours worked or the number of pages. In general, salaries range from about £12,000 to £30,000 a year.

An indexer needs:

  • to be good at English, including grammar, spelling and punctuation
  • to have a logical mind
  • be able to work accurately under pressure to meet deadlines
  • to enjoy working with words.

The Society of Indexers has around 900 members. Most indexers are self-employed, but there may be a few opportunities with publishing companies, libraries and other organisations. Indexers can work anywhere in the UK. It may take a long time to get enough work to rely on indexing as a full-time career.

There are no minimum qualifications to become an indexer, but most indexers have a degree or postgraduate qualification. It is essential to have an excellent command of the English language. There is no maximum age for entry.

The Society of Indexers offers a distance-learning course which takes between five and twelve months to complete. Book Indexing Postal Tutorials (BIPT) is a practical course consisting of five or six tutorials which takes around three to six months to complete. Indexers who are employed by publishing houses and other organisations may receive training from their employer.

The Society of Indexers and BIPT offer courses which help experienced indexers to build up their skills. Some indexers train in other publishing-related subjects, such as copy-editing or proofreading, so they can offer a broader range of services to clients.
